Tree Week Event Hosts Terms of Participation
1.Tree Week Lexington is organized and administered by a planning team of volunteers from participating organizations including, but not limited to, the Urban Forest Initiative Working Group, LFUCG, FCPS, UK, and several non-profits as a service to the community.
2. By hosting an event under the umbrella of Tree Week, you agree to abide by Terms of Participation. Violation of the Terms of Participation policy will result in removal of event listing from the Tree Week calendar, suspension of any shared marketing, and may result in being banned from hosting Tree Week events in the future.
3. The Tree Week Lexington planning team is not liable for any claims arising from hosting or participation in Tree Week events.
4. Event hosts are expected to treat all participants with dignity and respect providing reasonable accommodations as needed.
5. Each host is responsible for securing any liability insurance coverage deemed necessary by the host or host institution, providing disclosures and participant waivers as appropriate or needed, for events hosted in association with Tree Week.
6. Each host is responsible for any event-specific registration/contact forms they may need. The Tree Week Lexington planning team does not track anticipated attendance. While the planning team will do a nominal amount of advertising for events, hosts should also work to spread the word about their events.
7. Hosts should be sure to secure permission to host events in public places, such as the UK Arboretum or city parks.
8. Tree Week was created to connect members of the participating communities with trees, with minimal barriers to participation. While we expect that most events will be free, contributors may host events that charge nominal fees, which must be clearly listed in the event description. Hosts may not hold events with a primary intention to pursue commercial gain or develop business contacts.
9. Registered events (see below) will be reviewed by the Lexington Tree Week planning team before being listed on the Tree Week website or in any marketing materials. The planning team has sole and final discretion to determine event acceptability.

Event Submission Process
1. Hosts will submit events via an event submission form posted on the Tree Week Lexington website.
Submitted events will be reviewed and cataloged by the planning team.
2. Upon review and acceptance, events will be uploaded to the Tree Week website.
3. A member of the planning team will contact hosts when their events have been approved and uploaded to the website. Hosts will then have the opportunity to proofread their event webpage.
